Position Summary

This position’s primary responsibility is ensuring overall organizational effectiveness. The Operations Coordinator will be responsible for operations of the organization in three key areas: 1) operational systems and internal processes, 2) human resource administration, and 3) office management. Delineated below, these responsibilities include information technology, internal communication, building management, and onboarding and offboarding of staff and board, among other duties.

In addition, the Operations Coordinator will be the first point of contact with the public, connecting with clients who are seeking support.

Position Responsibilities

Operational Systems & Internal Processes

● Facilitate proactive communication with all staff utilizing the established technology infrastructure, to include Google tools, interpersonal communication, and enterprise software

With the Systems Coordinator, create, implement and manage effective internal policies, systems, and processes that ensure efficient daily operations

● Manage both hardware and software information technology to ensure the organization’s infrastructure needs are met consistently

Human Resource Administration

● Ensure proper documentation and legal compliance in the hiring process

Serve as the liaison between Thrive and its benefits coordinator regarding insurance and retirement plans

Manage, ensure proper enrollment, confidentiality, administration and updates for all employee benefits including healthcare, workers’ compensation, 401k, and flex-plan spending accounts

Communicate timely information on changes to compensation and benefits in order to process monthly payroll and meet reporting requirements

Maintain quality employee benefit programs by assessing benefit needs, making recommendations, and ensuring that adequate benefit and wellness information is provided to staff

Partner with the Executive Director to keep accurate, compliant, and secure personnel files on each employee

● Strong knowledge of Thrive’s policies as well as ability to develop, maintain, and ensure staff awareness of employee policies, procedures, and guidelines

● Ensure legal compliance by monitoring applicable human resources federal and state requirements

● Maintain professional and technical knowledge by reviewing professional publications and attending educational workshops

Office Management

● Use professional communication skills strategically to successfully engage with visiting families, donors, staff, and board members

● Answer phone and email inquiries, providing initial support and connecting people to experts who can help

● Engaging with staff to collaborate, brainstorm, offer information and support, innovate solutions, and build a strong workforce culture for optimal organizational success

● Handle postal mail, to include preparing bank deposits

Keep office stocked accordingly with needed supplies

● Coordinate services to include regular and special building maintenance, janitorial, and any repairs

Required Skills & Experience

● 2+ years experience with operational administration

● 1+ years experience working in IT

● Basic understanding of Spanish

Preferred Skills & Experience

● Familiarity with Google tools, Rippling, and Salesforce preferred but not required

Spanish proficiency or fluency

Prior experience working at a nonprofit organization, human services, and/or with children or families

● Additional working knowledge of local community resources

Salary & Benefits

● Annual salary of $50,000-$55,000, commensurate with experience
